18 hrs per week, 39 weeks per year - Fixed Term until 30 June 2017

The key duties of this post are:

Provide administrative support to Education ICT Team

Provide first point of contact for enquiries; responding appropriately by telephone, by e-mail or in person and re-directing as appropriate

Update and maintain records, files and spread sheets in line with corporate records management standards

Manage enquiries related to Glow account provisioning for all Education staff

Manage access to school mailboxes

Work with partners within West Lothian Council and external partners to manage this requirement

Maintain inventory for equipment

Ensure correct paperwork is completed for central HR and maintain records and comply with Staff Absence Management policy

E-procurement – order, receive, check and invoice for goods

Keep accurate financial records

The skills and experience you must have are:

  • Academic achievement to Scottish National 4 or 5 level, Standard Grades or equivalent transferable experience and skills
  • Experience in using Microsoft Office packages to a proficient standard
  • Excellent communication and organisational skills
  • Capable of prioritising tasks to meet competing demands
  • Ability to work on own initiative and as part of a team
  • Accuracy and attention to detail
  • Ability to deal with confidential and sensitive matters
  • Ability to respond appropriately to customer needs
  • Flexible and adaptable
  • This post is considered Regulated Work with Vulnerable Children and/or Protected Adults, under the Protection of Vulnerable Groups (Scotland) Act 2007. Preferred candidates will be required to join the PVG Scheme or undergo a PVG Scheme update check prior to a formal offer of employment being made by West Lothian Council.
