Legal Secretary - Corporate IP/IT
Edinburgh
Permanent - £Excellent plus benefits
This friendly and professional Legal Firm are seeking an experienced Corporate Legal Secretary for their IP/IT team.
The successful candidate will provide professional and high quality all-round secretarial & administrative support to a number of fee-earners.
The Role
·-Digital dictation/copy typing
·-Large documentation work including creating, amending and engrossing a variety of bespoke documents using track changes and automatic numbering/styles
·-Preparation of PowerPoint presentations and Excel spreadsheets
·-Preparing fee notes and narratives
·-Drafting letters and/or emails sending out correspondence, requesting information etc
·-Electronic diary management, setting up internal and external meetings
·-Arranging all travel/accommodation using the Firms UK Travel facility
·-Completing and submitting expense claims
·-Answering and screening telephone calls, assisting callers and redirecting enquiries to relevant fee-earners
·-Completion of finance forms
·-File management
·-Upkeep of client contact information on our central in-house database
·-Ordering Searches on-line
·-Assisting at seminars and/or other meetings held at our offices
·-Ordering and, as necessary, assisting with photocopying and binding
·-Dealing with audit requests
·-Assisting other secretarial teams, as required.
Skills Required
·-Experience of processing large documentation within Microsoft Word
·-A first rate understanding of a wide range of IT packages (including MS Office) is essential
·-First-class secretarial, administrative and organisational skills
·-Ability to work flexibly as part of a team in a busy environment
·-Excellent telephone manner and good communication skills at all levels
·-Ability to prioritise workload and achieve deadlines
·-Ability to maintain a professional manner at all times
·-Ability to use initiative and work proactively
·-Fast, accurate typing a prerequisite
·-Working knowledge of a document management system would be advantageous.
